Putnam Museum and Science Center is seeking a dynamic
Events & Rentals Manager to lead the planning and execution of events that inspire curiosity, celebrate learning, and strengthen community engagement.
This role manages all internal museum events—from fundraising galas and exhibit openings to public programs and donor receptions—as well as external facility rentals, including weddings, corporate meetings, and private celebrations. The ideal candidate combines creativity with exceptional organizational skills and thrives in a collaborative, mission-driven environment.
KEY RESPONSIBILITIES
Event & Rental Planning and Execution
- Plan, coordinate, and oversee all Museum-hosted events, including fundraisers, exhibit openings, donor receptions, and public programs.
- Manage logistics for external rentals such as community gatherings, weddings, and corporate events—from scheduling through event completion.
- Develop budgets, timelines, and staffing plans; track expenses and revenues to meet financial goals.
- Ensure all events deliver a seamless, engaging, and mission-aligned guest experience.
- Lead on-site execution, including setup, event flow, and teardown.
- Serve as a welcoming and enthusiastic representative of the Museum to clients, vendors, and guests.
- Serve as a spirited ambassador for events, consistently energizing internal teams and external partners through timely, engaging communications
Cross-Departmental Collaboration
- Work closely with Development on donor engagement and fundraising initiatives.
- Partner with Education to integrate learning and engagement opportunities into events.
- Collaborate with Facilities, Guest Services, and Marketing to ensure high-quality event execution and promotion.
- Serve as the central contact for vendors, customers, and internal teams to ensure strong communication and coordination.
Administrative & Operational Management
- Maintain event records, contracts, and rental agreements.
- Develop and implement rental policies, pricing structures, and operational procedures.
- Recruit and oversee event staff and volunteers as needed.
- Ensure all events comply with safety, accessibility, and Museum standards.
- Build and maintain strong relationships with community partners, vendors, and repeat customers.
- Assist with scheduling and coordination of museum space usage.
QUALIFICATIONS
- Bachelor’s degree in Event Management, Hospitality, Communications, or related field.
- 2+ years of event management experience, preferably in a museum, cultural, or nonprofit setting.
- Strong organizational, budgeting, and project management skills.
- Excellent interpersonal and communication skills; ability to build strong relationships with diverse audiences.
- Proficiency in Microsoft Office and general office software.
- Ability to work a flexible schedule, including evenings and weekends (typical schedule: Tuesday–Saturday).
Position Type & Compensation
This is a full-time, exempt position offering a competitive salary and benefits package.
PREFERRED SKILLS
- Experience with event management software.
- Familiarity with museum or nonprofit operations.
- Experience managing donor or fundraising events.
- Working knowledge of AV systems, catering logistics, and event setup.
